HCEA respects the privacy of its members and other contacts, such as visitors to its website, registrants to its meetings, prospective members, etc. To protect these individuals’ privacy regarding the use of information about them, HCEA has adopted the following policy.
It is HCEA’s policy to collect and store only information that our members and other contacts knowingly provide. HCEA uses this information in the following ways:
- To contact our members; for example, by providing them information about HCEA benefits or services that might be of interest to them.
- To promote HCEA benefits and services to nonmembers who may find them of benefit in their convention marketing professions.
- HCEA publishes member information in print form through its HCEA Directory of Healthcare Meetings & Conventions, one copy of which is sent to members, and which is sold to both members and non-members. HCEA also publishes member information on registrants to its conferences and meetings through registration lists which are made available to all attendees at a given meeting.
- Occasionally, HCEA will provide member information to other HCEA members for use in informing HCEA members about products or services that may be beneficial to them in their convention marketing practice. This information includes names, titles, companies, and business addresses, but does not include Email addresses or fax numbers. HCEA members may request that HCEA refrain from making any information available to other members in this fashion by email to hcea@kellencompany.com.
- HCEA does not typically provide any member information to non-members. Exceptions will be made only in rare instances when a third-party offers a legitimate benefit or service that HCEA, in its determination, believes would be beneficial to its members in their convention marketing practice and which cannot be communicated to the HCEA membership in any other way. Any such exceptions must be approved by the HCEA Executive Committee or Board of Directors. In such exceptional cases, the information provided will be the same as that provided to HCEA members (i.e., no Email addresses). HCEA members requesting that HCEA refrain from making their information available to other members will automatically have their information withheld from exceptional third-party instances as well.
Credit card information: HCEA does not disclose credit card information provided by its members or others.
